SentientPro Chrome Extension Privacy Policy

This Privacy Policy applies specifically to the SentientPro Transcriber Chrome extension (the "Extension"), distributed through the Chrome Web Store. It supplements the SentientPro Privacy Policy (the "Main Privacy Policy") and describes how the Extension collects, uses, and shares information about you. Where this Policy is silent, the Main Privacy Policy applies. Capitalized terms not defined here have the meanings given in the Main Privacy Policy or the applicable Terms of Service or Master Services Agreement.
The Extension is offered to authenticated SentientPro Users on plans that include Meeting Transcription. When you use the Extension under your organization's account, your organization is the data controller for the recordings and transcripts you create, and SentientPro acts as a data processor as set out in our Data Processing Addendum.

1. SCOPE AND SINGLE PURPOSE
The Extension has a single purpose: to capture audio from a browser tab and the user's microphone, only when the user clicks Start Recording, and transmit that audio to SentientPro for transcription. The resulting transcript is stored against the User's SentientPro account so the User can review or export it from the SentientPro web application.
The Extension does not record passively, does not record without an explicit user action, does not read or scrape web page content, does not modify pages the User visits, does not inject advertising, and does not operate in the background while no recording is in progress. Recording stops the moment the User clicks Stop or the recording tab is closed.
This Policy covers only the Extension. The SentientPro web application at app.sentientpro.com, the marketing website, and other SentientPro Services are governed by the Main Privacy Policy.
2. INFORMATION THE EXTENSION COLLECTS
The Extension collects only the information described below, and only while it is being used.
AUDIO RECORDINGS. When the User clicks Start Recording, the Extension captures audio from the active browser tab using Chrome's tabCapture API and from the User's microphone using getUserMedia. The two audio streams are mixed locally in the browser, sliced into approximately 15-second WebM/Opus chunks, and transmitted over HTTPS to app.sentientpro.com for transcription.
TRANSCRIPTS. The transcribed text returned for each audio chunk is stored in the User's SentientPro account as part of a transcript session. Transcripts are accessible to the User and to other authorized members of the User's organization through the SentientPro web application.
AUTHENTICATION IDENTIFIER. The Extension reads only the SentientPro session cookie (__Secure-next-auth.session-token) on the app.sentientpro.com domain and attaches it to API requests so the SentientPro server can identify the User. The Extension does not read, modify, or transmit any other cookies from any other domain.
ACCOUNT INFORMATION. The Extension fetches the User's name, email address, profile image, organization name, and plan tier from app.sentientpro.com to display them in the Extension's popup interface and to determine which features are available to the User.
EPHEMERAL RECORDING STATE. While a recording is in progress, the Extension stores its session identifier, start time, and paused/active status in chrome.storage.session, which is automatically cleared when Chrome is closed.
The Extension does not collect: browsing history, the URLs or content of pages the User visits, keystrokes, screenshots, the User's location, device identifiers beyond those naturally exposed by the browser to app.sentientpro.com, or telemetry of any kind beyond what is described above.
3. PERMISSIONS USED BY THE EXTENSION
Each Chrome permission declared by the Extension is used solely for the corresponding feature.
tabCapture is used to capture audio from the browser tab the User chooses to record. Capture is initiated only by the User's click on the Start Recording button; the Extension cannot begin capture silently or in the background.
offscreen is required by Chrome's Manifest V3 architecture so that the Extension can hold the audio stream and MediaRecorder instance, since the extension service worker is not permitted to hold media streams.
activeTab grants the Extension temporary access to the tab in focus when the User clicks the Extension, allowing the Extension to identify which tab to capture.
storage is used to hold ephemeral recording state in chrome.storage.session. No personal information is persisted to local storage by the Extension.
cookies is used to read only the SentientPro session cookie on app.sentientpro.com. The Extension does not read or modify any other cookies on any other domain.
The host permission for https://app.sentientpro.com/* allows the Extension to communicate with the SentientPro API. The Extension does not request host permissions for any other domain.
4. HOW WE USE INFORMATION COLLECTED BY THE EXTENSION
Information collected by the Extension is used solely to:
- Provide live and stored transcripts of the recordings the User initiates;
- Display the User's account information and recording history within the Extension popup;
- Authenticate API calls between the Extension and the SentientPro server.
Information collected through the Extension is not sold, is not used to train generalized or cross-customer machine-learning models, is not used for advertising or for profiling beyond what is required to deliver the Service, and is not shared with third parties except those service providers strictly necessary to deliver the Service (see Section 5).
5. SHARING AND SUB-PROCESSORS
Information transmitted by the Extension is shared on the same terms as described in the Main Privacy Policy, sections "How We Disclose Your Information" and "Service Providers". Audio submitted for transcription is processed by OpenAI's Whisper API as a sub-processor; the resulting transcripts are stored on SentientPro's infrastructure and made available to the User through the SentientPro web application.
6. RETENTION
Audio recordings are not retained after transcription completes; only the resulting transcripts are stored. Transcript retention follows the schedule set out in the Main Privacy Policy, section "Retention of Your Information," and any retention configuration the Customer has agreed under the applicable Master Services Agreement or Data Processing Addendum. Users can review their transcripts and request deletion through the SentientPro web application or by contacting their organization's administrator.
7. SECURITY
All communication between the Extension and SentientPro servers occurs over HTTPS. Authentication uses the User's existing SentientPro session cookie; the Extension does not store separate credentials. The broader security program described in the Main Privacy Policy, section "How We Protect Your Information," applies in full to information collected by the Extension.
8. YOUR CHOICES AND CONTROLS
RECORDING CONTROL. Recording starts and stops only when the User clicks Start Recording or Stop in the Extension popup. The User can pause and resume recording at any time. Closing the popup does not stop a recording; clicking Stop does.
MICROPHONE PERMISSION. The User can grant or revoke the Extension's microphone access at any time through Chrome's settings at chrome://settings/content/microphone. The Extension cannot record without microphone access.
UNINSTALLING THE EXTENSION. Uninstalling the Extension from chrome://extensions immediately ends all Extension-side data collection. Transcripts already stored in the User's SentientPro account are unaffected and can be managed through the SentientPro web application.
ACCOUNT-LEVEL RIGHTS. Users in jurisdictions that grant data subject rights (including but not limited to the EU/EEA, the United Kingdom, and U.S. states with applicable consumer privacy laws) have the rights described in the Main Privacy Policy, section "Your Rights and Your Choices," with respect to information collected by the Extension. To exercise those rights, contact privacy@sentientpro.com.
9. CHROME WEB STORE LIMITED USE DISCLOSURE
To the extent the Extension or the SentientPro Solution receives information from Google APIs, the use of that information will adhere to the Chrome Web Store User Data Policy, including the Limited Use requirements. The Extension itself does not call any Google API directly; this disclosure is provided to satisfy Chrome Web Store program requirements applicable to the Extension's listing.
10. CHANGES TO THIS POLICY
We may update this Policy from time to time to reflect changes in the Extension's functionality, applicable law, or our data practices. The Effective Date above will be revised whenever this Policy is updated, and material changes will be communicated in accordance with the Main Privacy Policy.
